# Field Sale App Settings

<p class="doc-lead">Company-wide defaults for the Field Sale mobile app: thermal print layout, invoice/receipt print extras, item picker rules, customer check-in distance, and header/footer print images. Open <b>Settings → Field Sale → App Settings</b> on the web. Per-user defaults and access toggles are on <a href="#/settings/user-management">User Settings</a>; mobile setup is covered in <a href="#/field-sale-app/settings">Field Sale App Setup</a>.</p>

<h2 id="overview">Overview</h2>

The view has two tabs:

Settings are stored company-wide and synced to the app at login (or when the user reselects the company). After changing most options, ask field users to <b>re-login</b> or reselect company so the app picks up the new values.

These settings control <b>Field Sale App Bluetooth printing and mobile behaviour</b>. They are separate from web <a href="#/settings/print-settings">Print Settings</a> (A4/browser bill layout).

<h2 id="quick-start">Quick Start</h2>

<ol>
<li>Go to <b>Settings → Field Sale → App Settings</b>.</li>
<li>On <b>General</b>, choose invoice print format (Regular vs Retail) to match your printers.</li>
<li>Set <b>Item list limit</b> and, if needed, enable <b>Prevent item selection before customer</b> and <b>Include non-stock items</b>.</li>
<li>Set <b>Customer check-in boundary (meters)</b> for on-site visits (default is often around 50&nbsp;m).</li>
<li>Optional: open the <b>Images</b> tab and upload header/footer logos for thermal prints.</li>
<li>Click <b>Edit</b>, change values, then <b>Update</b>. Have users re-login on the app.</li>

<h2 id="invoice-receipt-print">Invoice &amp; Receipt Print</h2>

|-----------|-----------------|
| Invoice print format | Thermal invoice item layout. <b>Regular</b> works on 2, 3, or 4-inch printers. <b>Retail</b> is for 3-inch printers and uses MRP-style columns (and savings text when MRP savings exist). See <a href="#/field-sale-app/print-formats">Print Formats</a>. |
| Show customer statement in invoice print | On approved (or pre-approved) sale invoices, shows today’s customer statement (opening, ledger lines, closing) on the invoice view and Bluetooth print. Requires sale report access for customer statement. |
| Show payment summary in invoice | Adds <b>Today Sales</b>, <b>Today Return</b>, and <b>Net Payment</b> for that customer’s cash/bank/wallet activity today on the approved invoice view and print. Useful for route collections. |
| Show customer balance in receipt print | Prints the customer’s closing balance (with date/time) on Receipt Voucher thermal prints. |
| Show Signature in print | Prints <b>Invoiced By</b> (company) and <b>Received By</b> (customer) signature lines on sale-document prints. Skipped when a custom print header is set. |

<h2 id="print-header-footer">Print Header &amp; Footer</h2>

| Custom Header in Print | Replaces the default company name/address header on sale and receipt prints with this text. Also hides the signature / Received By block. Use for a short branded header when the full company block is too long. |
| Custom Footer in Print | Text printed at the bottom of sale documents. Use <code>\n</code> for line breaks (for example a return policy or thank-you note). |

Logo images are configured on the <a href="#/settings/field-sale-app-settings?id=images">Images</a> tab, not in these text fields.

<h2 id="sale-invoice-items">Sale Invoice &amp; Items</h2>

| Item list limit | Max items shown in the mobile item picker after search/filter. App hard cap is <b>400</b>. Lower values keep the list fast; raise when salesmen need a wider browse. Does not change the server item catalog. |
| Prevent item selection before customer selection | Blocks opening the item picker until a customer is chosen. Use to avoid walk-in invoices without a party and to let customer-brand filters apply first. |
| Include non-stock items in sale invoice | When the invoice uses the inventory-based picker, also includes saleable items with zero (or no) stock at closing stock 0. Enable for services/non-inventory lines or van sales of items not currently in van stock. |
| Show item rate type switch in sale documents | Shows <b>Tax Excl.</b> / <b>Tax Incl.</b> on the <b>ITEMS</b> header for Sale Invoice, Sale Order, Sale Quotation, and Credit Note so the salesman can override the company default for that document. Requires <b>Has tax system?</b> in <a href="#/settings/transaction-preferences">Transaction Preferences</a>. Re-login or reselect company after enabling. |

These options affect the <a href="#/field-sale-app/transactions?id=item-selector">item selector</a> and sale document create screens in the app.

<h2 id="customer-check-in">Customer Check-in</h2>

|-----------|-----------------|
| Customer check-in boundary (meters) | Maximum allowed distance between the salesman GPS and the customer’s saved map pin for check-in to succeed. Increase for large sites; decrease to enforce on-site visits. Enforced on the <b>server</b> — not only in the app UI. |

Manual check-in is on the customer detail location map. Automatic check-in on Sale Invoice / Receipt Voucher is controlled <b>per user</b> under <b>Auto customer checkin on invoice / receipt creation</b> in <a href="#/settings/user-management">User Settings</a>. Both use this company-wide boundary. See <a href="#/field-sale-app/customers?id=visit-tabs">customer visit tabs</a>.

If the boundary is unset or zero, check-in may fail with a message that the boundary is not set. If the salesman is too far away, check-in fails with a message that the current location is away from the customer.

<h2 id="images">Images</h2>

Open the <b>Images</b> tab to manage branding for Bluetooth prints.

| Header Image | Optional image printed at the top of Bluetooth sale/receipt prints (before the text). PNG or JPG, max 5&nbsp;MB. |
| Footer Image | Optional image printed after the text on Bluetooth sale/receipt prints. PNG or JPG, max 5&nbsp;MB. |

Upload, replace, or remove images from the card actions. Click an image to preview it. Skip images if your thermal printers do not support image print well.

Image upload and remove on the <b>Images</b> tab save immediately for that image (confirm before remove).

<h2 id="faq">FAQ</h2>

<p><b>What is the difference between App Settings and User Settings?</b></p>
<p>App Settings are company-wide mobile defaults (print format, check-in boundary, item picker rules, images). User Settings are per salesman: Field Sale App access, geolocation toggles, default employee, inventory center, route, and related defaults.</p>

<p><b>Why are field users rejected on customer check-in?</b></p>
<p>They are outside the <b>Check-in boundary (meters)</b>, the customer has no map pin, or the boundary is not set. Increase the radius, correct customer coordinates on the web, or set a positive boundary value.</p>

<p><b>Does item list limit affect search?</b></p>
<p>Yes. The cap applies to items loaded in the mobile item picker after search/filter (max 400 in the app). Narrow results with brand filter or enable <b>Prevent item selection before customer</b> when customer-specific catalogues apply.</p>

<p><b>Where do I pair Bluetooth printers?</b></p>
<p>On each device in the app under <a href="#/field-sale-app/printer-settings">Printer Settings</a> — not on this web screen.</p>

<p><b>What does Prevent item before customer do?</b></p>
<p>Blocks opening the item picker on sale documents until a customer is selected — reduces walk-in invoices without a party.</p>

<p><b>What does Show item rate type switch in sale documents do?</b></p>
<p>Lets field users choose <b>Tax Exclusive</b> or <b>Tax Inclusive</b> per Sale Invoice, Sale Order, Sale Quotation, or Credit Note. The company default still comes from <a href="#/settings/transaction-preferences">Transaction Preferences</a> → <b>Item Rates are</b>. After enabling, users must re-login (or reselect company) on the app for it to appear.</p>

<p><b>Do custom header/footer text and images print on all documents?</b></p>
<p>Custom header/footer <b>text</b> from General applies to mobile sale/receipt Bluetooth prints. <b>Images</b> from the Images tab print when the device/printer supports image print. Web A4/browser prints use <a href="#/settings/print-settings">Print Settings</a> instead.</p>

<p><b>Why don’t my setting changes appear on the phone?</b></p>
<p>Ask the user to log out and log in again, or reselect the company, so <code>fieldSaleAppSettings</code> is refreshed from the server.</p>

<p><b>Is this the same as web Print Settings?</b></p>
<p>No. This screen controls Field Sale App thermal printing and mobile behaviour. <a href="#/settings/print-settings">Print Settings</a> control browser/A4 bill layout, pre-printed stationery, and voucher footers on the web.</p>
