# Service Items

<p class="doc-lead">Service Items define every service your organization sells to customers, purchases from vendors, or both — installation, annual maintenance contracts, consulting hours, training sessions, and software subscriptions. Each item carries pricing, tax, and accounting details used across Service Completion Notes, Service Receipt Notes, and invoices.</p>

Go to <b>Service → Service Items</b>.

<p><b>List columns:</b> Id, Name, Code, SAC/HSN, Unit, Service Group, Purchase Price, Selling Price, MRP, Revenue Account, Expense Account.</p>

<p><b>Quick filter tabs:</b> Active, Suspended *(default tab on open)*.</p>

<p><b>Advanced Filters:</b> Id, Name, Service code, SAC/HSN, Service group, Unit, Status (Active / Suspended), Saleable, Purchasable, Created Date.</p>

<p><b>List actions:</b> New, Edit, Delete, View, Export (Excel, when permitted).</p>

<h2 id="quick-start">Quick Start</h2>

<ol>
<li>Go to <b>Service → Service Items</b> → <b>New</b>.</li>
<li>Enter <b>Name</b> and select a <b>Unit</b>.</li>
<li>Check <b>Saleable</b> and/or <b>Purchasable</b> as needed.</li>
<li>Fill in the <b>Sale</b> section (Revenue Account, Selling Price) if saleable.</li>
<li>Fill in the <b>Purchase</b> section (Expense Account, Price) if purchasable.</li>
<li>Click <b>Save</b>.</li>

<h2 id="header-fields">Basic Fields</h2>

| **Field** | **Description** |
|-----------|-----------------|
| Name * | Service name. Required. Must be unique. |
| Service Code * | Short code for identification. Required unless auto-numbering is enabled in Number Settings — then the field is hidden and the code is generated automatically. |
| Unit * | Default unit of measure (Hour, Visit, Job, etc.). Required. |
| Service Group | Classification group for reporting. |
| SAC/HSN Code | SAC or HSN code for GST/VAT compliance. |
| Barcode | Barcode, if applicable. |
| Description | Additional details about the service. |
| Purchasable | Checkbox — service can be purchased from vendors. Default: on. |
| Saleable | Checkbox — service can be sold to customers. Default: on. |
| Tax Class | Applicable tax category. |

Visible when <b>Saleable</b> is checked.

<h2 id="faq">FAQ</h2>

<p><b>Where is the Service Code field?</b><br>If auto-numbering is enabled for Service Items in <b>Settings → Number Settings</b>, the code is generated on save and the field is hidden on the form.</p>

<p><b>Can a service item be both saleable and purchasable?</b><br>Yes. Check both boxes — for example, a consulting service you resell to customers after purchasing from a subcontractor.</p>

<p><b>Why are Revenue Account and Expense Account required?</b><br>Revenue Account is required when Saleable is checked; Expense Account is required when Purchasable is checked. These accounts are used when the service appears on invoices.</p>

<p><b>How do I see purchase and sales history for a service item?</b><br>Open the <a href="#/service/reports/service-enquiry">Service Enquiry</a> report and select the item, or click the item name on a Service Completion Note or Service Receipt Note line.</p>

<p><b>What is the difference between a Service Item and an Inventory Item?</b><br>Service items represent intangible work (consulting, maintenance, installation labour). They appear on service notes and invoices but never post to stock. Use <a href="#/inventory/items">Inventory Items</a> for physical goods.</p>

<p><b>What happens when I suspend a service item?</b><br>Suspended items are hidden from selection on new service notes and invoices. Existing transaction lines and approved documents are unchanged.</p>

<p><b>Can I make a service saleable but not purchasable?</b><br>Yes. Uncheck <b>Purchasable</b> and leave <b>Saleable</b> on — for example, in-house services you bill but never buy from vendors.</p>

<p><b>Why is Sale Return Account or Purchase Return Revenue Account required?</b><br>When Saleable or Purchasable is checked, return accounts are mandatory so credit notes and purchase returns post to the correct ledger accounts.</p>

<p><b>Do prices on the item form override invoice prices?</b><br>Selling Price and Purchase Price are defaults. You can change unit prices on individual invoice or order lines without updating the master item.</p>

<p><b>Can I delete a service item used in transactions?</b><br>Delete may be blocked when the item is referenced on approved documents. Suspend the item instead to prevent new use while keeping history intact.</p>
