# Customer Outstanding Bills

<p class="doc-lead">Lists unpaid receivables for a selected customer—including open invoices, unclaimed refunds, outstanding payments, and PDC. Use it to plan collections and verify total dues before follow-up calls.</p>

<h2 id="overview">Overview</h2>

Go to <b>Sales → Customer Reports → Customer Outstanding Statement</b>.

<p><b>What it shows.</b> Only the outstanding receivables of the selected customer—unpaid invoices, unclaimed refunds, outstanding payments, and post-dated cheques (PDC)—not the full transaction history. Bill amount and balance are shown in the <b>customer's currency</b> when the customer uses a foreign currency.</p>

<p><b>Parent customers with sub-branches.</b> When the selected customer is a parent that has active sub-customers (<b>Sub customer</b> enabled on child records with a parent link), the report includes outstanding bills for the parent <b>and</b> all those sub-customers. A <b>Customer</b> column appears on each bill section so you can see which account each row belongs to. If the customer has no sub-customers, or you select a sub-customer directly, behaviour is unchanged and the <b>Customer</b> column is hidden.</p>

<p><b>When to use it.</b> Prepare collection calls, prioritize overdue bills, and confirm total outstanding before accepting new orders on credit.</p>

<ul>
<li><b>Collection call prep</b> — List all open items for one customer before a payment follow-up.</li>
<li><b>Credit limit review</b> — Verify total outstanding before approving additional credit sales.</li>
<li><b>PDC tracking</b> — See post-dated cheques included in the outstanding balance.</li>
<li><b>Month-end receivables</b> — Export outstanding totals to validate accounts receivable balances.</li>
<li><b>Foreign-currency collection</b> — For a customer billed in USD or AED, read outstanding in that currency so the follow-up amount matches their invoices.</li>

<h2 id="filters">Filters</h2>

<ul>
<li><b>Customer</b> — Select the customer whose outstanding receivables to view. For a parent with sub-branches, all sub-customer outstanding is included automatically.</li>
<li><b>Shipping Address</b> — Optional. Filters invoice rows by shipping address (does not change which sub-customers are included).</li>
<li><b>Date</b> — Optional date range toggle to limit bills by invoice date.</li>
<li><b>More</b> — Include pre-approved invoices; show or hide open invoice expenses.</li>
<li><b>Advanced Filter</b> — Form type, employee, brand.</li>

<h2 id="columns">Columns</h2>

The report header shows details for the selected customer (parent). Bill sections below list open items.

**Outstanding Invoices**

| **Column** | **Description** |
|------------|-----------------|
| **Customer** | Shown only when the selected parent has sub-customers. Name of the parent or sub-branch account for that invoice. |
| **Date** | Invoice date. |
| **Invoice#** | Sale invoice number. |
| **Order#** | Linked sale order, if any. |
| **LPO#** | Customer purchase order reference. |
| **Invoice Age** | Days since invoice date. |
| **Due Date** | Payment due date. |
| **Due Age** | Days overdue (when due date is set). |
| **Payment Term** | Credit terms on the invoice. |
| **Bill Amount** | Original invoice total, in the customer's currency when a foreign currency is set. |
| **Balance** | Unpaid amount remaining, in the same currency. |
| **C Balance** | Running cumulative balance across listed invoices (sorted by date). |

**Invoices with PDC Balance**, **Open Credit Notes**, and **Open Invoice Expenses** use the same <b>Customer</b> column when the parent has sub-customers; other columns match each section’s purpose (PDC amount, credit note balance, expense amount, etc.).

Section totals sum all rows shown, including parent and sub-customer bills when applicable.

<h2 id="faq">FAQ</h2>

<b>Why is a fully paid invoice still listed?</b><br>
Partial payments leave a remaining balance. Fully paid invoices should not appear unless a timing or allocation issue exists—verify payment allocation on the invoice.

<b>Are PDC cheques included in outstanding?</b><br>
Yes. Post-dated cheques received but not yet cleared are included in the outstanding view.

<b>How is this different from Customer Statement?</b><br>
Outstanding lists only unpaid and open items. Customer Statement shows all transactions including payments with a running balance.

<b>Does this include unclaimed refunds?</b><br>
Yes. Unclaimed refunds and other open credit balances owed to or from the customer appear in the outstanding summary.
<p><b>Are pre-approved invoices included?</b><br>Only when your outstanding logic includes pre-approved invoices. Confirm with finance whether pre-approved bills count as receivables.</p>

<p><b>Can I email this to the customer?</b><br>Print or export PDF from the report. For formal statements use <a href="#/sales/reports/customer-statement">Customer Statement</a>.</p>

<p><b>When does the Customer column appear?</b><br>Only when you select a <b>parent</b> customer that has one or more active sub-customers (<b>Sub customer</b> checked on the child, linked to that parent). Selecting a sub-customer directly shows only that branch’s bills and hides the column.</p>

<p><b>Which sub-customers are included?</b><br>Active sub-customers only (<b>Sub customer</b> enabled and status active). Inactive branches are excluded.</p>

<p><b>Does cumulative balance (C Balance) combine parent and sub-branches?</b><br>Yes. When sub-customer bills are included, rows are sorted by date and <b>C Balance</b> runs across all listed invoices. Each customer still has a separate ledger account; use the <b>Customer</b> column to see which account each row belongs to.</p>

<p><b>Related report for sub-branch sales?</b><br>For period sales and returns per sub-branch (not open bills only), use <a href="#/sales/reports/sub-customer-sale-report">Sub Branch Sale Report</a>.</p>

<p><b>In which currency are amounts shown?</b><br>In the customer's currency when the customer (and invoice) uses a foreign currency. Company base currency is used when the customer has no separate currency.</p>
