FAQ

What is the standard purchase flow?
Quotation → Purchase Order → Goods Receipt Note → Purchase Invoice. Accounts post on invoice approve; stock increases on receipt.

When do I use a Work Order instead of a Purchase Order?
A Work Order directs and tracks a specific task or service — such as a maintenance repair, service billing, or building/civil work contracting. A Purchase Order is a binding order sent to an external vendor to buy physical goods, materials, or inventory.

Which purchase documents post to accounts?
Purchase Invoice, Debit Note, and Purchase Expense post journals on approve. Purchase Order and Quotation do not post until invoiced.

How do purchase returns work?
For a goods return, create a Purchase Return Order, deliver goods back with a delivery note, then issue a Debit Note linked to the return. You can also create a Debit Note directly over an approved Purchase Invoice (using Create Debit Note) for returns or adjustments against that invoice, or as a standalone debit note with Without Invoice Ref.

Where do I configure supplier pricing and tax?
Open Purchase Settings for pricing, purchase types, and tax configuration.
