Overview

Go to Job → Job Card Allocation Reconciliation. The same report is in the Reports catalog as Job Card Invoice Allocation Reconciliation. The screen title is Allocation Reconciliation.

What it shows. One row per document that meets all of these conditions:

The document date is in the selected range.

The document is Approved, Closed, or Pre approved.

The document header is linked to a Job Card.

The document has item lines, and at least one line is not fully covered by a Job Card Allocation row for that line (by more than 0.01).

The comparison is line by line. A document stays on the list when one line of an item is allocated and another line of the same item is not. Taxable Amount, Allocated, and Difference on the row are the sums of those lines. Allocated on a line cannot be more than that line's amount. Round-off on the bill is not a line and is not treated as unallocated.

Difference = Invoice line amount − Allocated on that line

The line amount is the taxable amount. If a line has no taxable amount, the line total is used. Credit notes and debit notes use the absolute amount.

A document with an allocation header and no item lines is not listed. A line whose item is not on the job card stays unallocated, including extra charges on a joint bill that belong to another job.

Default range is the start of the current month to today. Maximum range is 12 months. Results show 500 rows per page.

Use Cases

Duplicate item lines — A sale invoice has Container Cost twice (*20GP and *40HQ) but the allocation kept only one. The report shows both lines and the missing amount.

Joint bills — A purchase invoice is posted to one job but includes charges for another job. Those lines stay on the report until they are allocated to the right job card.

Month close — Before reviewing Job Card Wise Profit, find bills that are linked to a job but are not fully on the allocation.

FAQ

How do I remove a document from this list?
Open the document and use Add Job Card Allocation so every line is covered. Once each line's difference is 0.01 or less, the document drops off. See Job Card Allocation.

Why does the same item appear twice?
Each invoice line is its own row. Two lines of Container Cost, one for *20GP and one for *40HQ, stay separate. The item subtotal on Lines still shows the combined difference.

Why is a bill that has no job card missing?
This report only includes documents whose header is already linked to a Job Card. Bills with no job card are on Sales Without Job Card or Purchase Invoices Without Job Card.

Does approving a new invoice allocate the second line?
Yes, from this release. Approving a document that already has a Job Card allocates every line whose item is on the job card, including a second or later line of the same item. Allocations that were saved before this release are left as they are. Find them here and correct them by hand.

Which job card line gets the extra invoice line?
Job card lines of that item are paired in serial order, one invoice line each. Any invoice lines left over stay on the last job card line of that item, for the line's full taxable amount. The line description is not used to choose the job card line.

Are draft or cancelled documents included?
No. Only Approved, Closed, and Pre approved documents.

Why do footer totals not match the rows on screen?
The footer totals cover every page in the result. The table shows 500 rows per page.

Date range too long?
The report rejects ranges longer than 12 months.
