Overview

Go to Inventory → Inventory Reports → Item Enquiry.

What it shows. Pick an item to see a full summary: item details (group, type, brand, units, purchase and selling price, MRP), total stock and average unit value, stock by center, and recent purchase and sale transactions. Extra tabs cover multiple-unit pricing, pending sale and purchase orders, sale quotations and unit conversions. You can narrow the recent activity to a specific customer or supplier.

When to use it. Use as a single-screen lookup before quoting, ordering or selling an item, and to answer "how much do we have and at what price?" quickly.

Item (required), Customer and Supplier. The customer and supplier filters narrow the recent activity shown for the item.

Estimated cost

Estimated Cost appears in the General tab item details when a value can be calculated. It is for reference on this screen (and on Item-wise Enquiry Report) — it does not change inventory valuation or sale bill rates.

The system applies the first rule that matches:

  1. Fixed estimated cost on the item — if Est. cost (value) is set in Estimated Cost Margin, that amount is shown.
  2. Stock on hand — when quantity is greater than zero and the item has an estimated cost margin %, estimated cost = average unit value × (1 + margin % ÷ 100).
  3. Zero stock — when quantity is zero, Show estimated cost on zero stock is enabled in Sale Settings → Price, and a last purchase price exists: estimated cost = last purchase price × (1 + add-on % ÷ 100 + margin % ÷ 100). The add-on % comes from Estimated cost add-on % in zero stock in the same settings section; margin % comes from the item's estimated cost margin. Either percentage can be zero if not configured.

If none of these rules produce a value, the Estimated Cost row is hidden on Item Enquiry and shows — on Item-wise Enquiry Report. The same calculated value appears in the By Value column on Estimated Cost Margin when margin % drives the cost (rounded to two decimal places).

Stock quantity and average unit value on both screens use centre-based inventory scope (your data-filter default centres when configured). Item-wise Enquiry Report lists zero-stock items by default; Item Enquiry always shows the selected item regardless of stock.

FAQ

Why don't I see prices or recent sales?
Pricing and sales sections appear based on your access. If you don't have sales or purchase access, those panels are hidden.

What does Available mean versus In hand?
In hand is the physical stock; Available is what's left after stock reserved against orders.

How do I see the detailed movement of the item?
From the More menu choose Show Item transactions to open Item Transactions.

Can I limit the activity to one customer or supplier?
Yes. Set the Customer or Supplier filter before generating.

Why is my report empty?
The item may have no open orders or recent activity in the filtered scope, or you lack access to hidden panels.

Which document statuses appear in pending panels?
Open sale orders, purchase orders, and receipt/delivery documents use approved and in-progress statuses per panel configuration.

How is this different from Stock Report?
Item Enquiry is a operational snapshot for one SKU; Stock Report lists many items' on-hand quantities.

Why is Estimated Cost blank when the item has no stock?
Zero-stock estimated cost is optional. Enable Show estimated cost on zero stock in Sale Settings → Price, ensure the item has a recorded last purchase price, and that no fixed Est. cost (value) already overrides the calculation. You can also set Estimated cost add-on % in zero stock for extra cost loading on top of last purchase price.

How is estimated cost different from Purchase Price on this screen?
Purchase Price is the item master's default cost price. Estimated Cost is a calculated reference for margin and enquiry, using inventory average value, item margin settings, or last purchase price when stock is zero.
