Inventory Settings control optional item-line fields, packing slip fields, dimensions, material request defaults, item mandatory fields, duplicate item name/barcode checks, validation rules, and footer notes for the Inventory module. Configure these once, then use the related master-data screens (item groups, units, brands, and more) to set up your inventory.
Go to Inventory → Settings → Inventory Settings from the left menu.
This is a single settings form — not a list. One record exists per company. Open the page, adjust options in the grouped sections, and click Update. Changes apply company-wide after save.
Inventory Settings do not post to accounts or stock. They control which optional fields appear on inventory documents, packing slip details, item dimensions, Material Request defaults, which item fields are required on save, whether item names and barcodes must be unique, and the footer notes printed on inventory transfers and delivery notes.

Quick Start
1. Navigate
Go to Inventory → Settings → Inventory Settings.
2. Review each section
Work through the sections from top to bottom: General & Basic Settings, Fields & Data Points, Data Entry Rules, and Footer Notes.
3. Save
Click Update to save. Use Reset to reload the last saved values, or Cancel to leave without saving.

Prevent Transaction Approval on Closed Material Request

Prevent Suspending Items with Stock in Hand

When enabled, the system shows Cannot suspend items with stock in hand if you try to suspend an active item that still holds quantity. Reduce stock to zero (for example via goods delivery note, inventory adjustment, or inventory transfer) before suspending, or leave the setting off to allow suspend regardless of stock.
Bulk suspend is all-or-nothing: if any selected item has stock, none of the selected items are suspended.
Prevent duplicate item name

When Barcode is marked mandatory, the user must enter a barcode before save. Auto-generated barcodes are not applied until a value is provided when this option is selected.
Footer Notes
Rich-text notes printed at the bottom of the corresponding documents.

FAQ
Why don't I see Batch, Serial Numbers, or Inventory Bin in the item line fields list?
Those options require the matching feature to be enabled for your company (batch tracking, serial numbers, warehouse bins, etc.).
Do these settings change existing documents?
No. They control which fields appear on new entry, document printing, and validation going forward.
What does the Material Request default do?
It pre-selects the Request For value on a new Material Request so users start from the most common request type.
Which item fields can be made mandatory?
Under Item mandatory fields in Data Entry Rules, you can require Item Group, Brand, Barcode, Tax Class, Report Unit, Description, and/or Reorder Point on every new or edited item.
Where do the footer notes appear?
On printed inventory transfers and goods delivery notes. They are defaults and can be adjusted per company.
What does Prevent transaction approval on closed material request do?
When enabled (default), Inventory Transfer and Consumable Issue cannot be approved against a closed material request.
Why can't I suspend an item that still has stock?
When Prevent Suspending Items with Stock in Hand is enabled in Inventory Settings, suspend is blocked while the item has positive quantity on hand. Clear stock first or turn the setting off if your process allows suspending stocked items.
Can two items have the same name or barcode?
By default, yes — only Item Code is always unique. Enable Prevent duplicate item name and/or Prevent duplicate barcode under Data Entry Rules to block duplicates on create and update. Matching is case-insensitive and trims spaces; a name that only appears as part of another item's name is allowed.
Do packing slip optional columns come from here?
Yes. Enable box, weight, and dimension columns under Packing Slip Line Fields in Fields & Data Points so they appear on packing slip entry and print.
