# Settings

<p class="doc-lead">Configure the Field Sale App before first use and tune behaviour at three levels: web <b>setup</b> (user roles and defaults), in-app <b>Printer Settings</b>, and company-wide <b>Field Sale App Settings</b> on the web.</p>

<h2 id="setup">Admin setup</h2>

Complete these steps on the web before field users sign in to the mobile app. Install the app from [Google Play or the App Store](field-sale-app/README.md?id=installation) first.

<h3 id="user-role">1. User role and user creation</h3>

Sign in as an admin on the web. If the admin will also use the Field Sale App, configure user settings for that account in step 2 below. Otherwise create a dedicated role and users as follows.

**User role**

Create a user role for Field Sale App users. Enable module access and permissions per role — see [Role access](field-sale-app/README.md?id=role-resources) on the main Field Sale App page for the full permission list.

Enable **Employee Summary**, **Inventory Summary**, and **Center Summary** on the role so reports and the Sale Invoice stock picker work correctly.

**Users**

Create users with an email address and assign the Field Sale App role. A registration email is sent so the user can set a password.

**Settings > Users > Users > New**

Users sign in to the Field Sale App with that email and password.

<h3 id="user-defaults-setup">2. User defaults and Field Sale App access</h3>

Set defaults separately for each user. Select the user, then open the **Settings** (gear) icon at the top right.

- Enable **Has Field Sale App Access?**
- Turn on Field Sale App toggles as needed (for example **Enable Geolocation Tracking?**)

Set defaults for inventory center, employee, cash/bank accounts, sale type, and optional billing center, branch, and project — see [User defaults](#/field-sale-app/settings?id=user-defaults) below for the full field list.

Items appear in the Sale Invoice picker only when they have stock in the selected **Inventory Center** (unless **Include non-stock items in sale invoice** is enabled in Field Sale App Settings).

<h2 id="in-app">In-app settings</h2>

Open the left drawer (hamburger menu) from any tab:

<h2 id="user-defaults">User defaults (web)</h2>

Configure per user under **Settings > Users > Users**. Select the user, then open the **Settings** (gear) icon.

<h3>Field Sale App toggles</h3>

These appear under the **Field Sale App** section when **Has Field Sale App Access?** is enabled.

|---------|---------|
| **Enable Geolocation Tracking?** | Background GPS reporting for the employee after login — **Android only**; not used on iOS. See [Geolocation](field-sale-app/README.md?id=geolocation) for permissions. |
| **Auto location save on invoice / receipt creation** | Saves or updates customer map coordinates when creating a Sale Invoice or Receipt Voucher |
| **Auto customer checkin on invoice / receipt creation** | Records a customer check-in when creating a Sale Invoice or Receipt Voucher (same rules as manual check-in: customer must have map coordinates, and the salesman must be within the check-in boundary). Those check-ins appear under **Visited** on the [customer list](field-sale-app/customers.md?id=visit-tabs). If this setting is off, creating an invoice or receipt does **not** count as a visit. |
| **Allow Sale Type Editing?** | Shows the **Sale Type** field on sale documents when no default is set, or lets the user change it |
| **Allow Employee Editing?** | Shows the **Employee** field on transactions when no default is set, or lets the user change it |

<h3>Transaction Restrictions</h3>

| **Disable discount** | Hides invoice-level and line discount fields on Sale Invoice, Sale Order, Sale Quotation, Credit Note, and cash discount on Receipt Voucher |
| **Disable rounding** | Hides the round-off field on sale documents |

<h3>Default Values, Visibility And Filter</h3>

Set defaults for entities the Field Sale App reads at login and when creating documents. Only the fields below are used by the mobile app — other defaults on the web user settings page (for example Production Center, Purchase Type, Country, Brand) do not affect the Field Sale App.

**Visibility** and **Data Filter** on the web apply to the web ERP. The Field Sale App does not read those columns; use the **Allow … Editing** toggles above to control whether the salesman can change a field on mobile.

**Required for most field users**

- **Employee** — without it, Employee Summary and Day Report sales sections fail (*Default Employee in user settings is missing*).
- **Inventory Center** — without it, Sale Invoice item stock, Day Report stock/cash, Item Enquiry, and RP Stock fail (*Default shipping center missing*).

**Notes**

- Missing **Employee** or **Inventory Center** defaults cause errors when opening reports or creating sale invoices (*default set* error at login, or report-specific alerts).
- Enable **Employee Summary**, **Inventory Summary**, and **Center Summary** in the user role for reports and the Sale Invoice item picker to work correctly.

Company-wide settings under <b>Settings → Field Sale → App Settings</b> on the web (General + Images tabs).

Header and footer images can also be configured for logo printing on supported devices.

Manual check-in is on the customer detail **LOCATION** map. Automatic check-in on Sale Invoice / Receipt Voucher is controlled per user under **Auto customer checkin on invoice / receipt creation** (see [User defaults](field-sale-app/settings.md?id=user-defaults) above). Both create the same check-in record and feed the **Visited** / **Not Visited** tabs on the [customer list](field-sale-app/customers.md?id=visit-tabs).

<h2 id="sale-invoice-items">Sale invoice &amp; items</h2>

| **Item list limit** | Number | Maximum items shown in the item picker (capped at 400 in the app) |
| **Prevent item selection before customer selection** | Checkbox | Blocks opening the item picker until a customer is selected |
| **Include non-stock items in sale invoice** | Checkbox | Adds zero-stock saleable items to the inventory-based item list |
| **Show item rate type switch in sale documents** | Checkbox | On Sale Invoice, Sale Order, Sale Quotation, and Credit Note create screens, shows **Tax Excl.** / **Tax Incl.** on the **ITEMS** header so the salesman can override the company default for that document. Requires tax to be enabled in Transaction Preferences. |

<p><b>What must I configure before users sign in?</b><br>
Create a Field Sale App role with module permissions, create users with email, enable <b>Has Field Sale App Access?</b> in user settings, and set default branch, center, and route as needed.</p>

<p><b>Where do I enable geolocation tracking?</b><br>
On each user's settings (gear icon) — <b>Enable Geolocation Tracking?</b> under Field Sale App toggles. Customer check-in boundary is company-wide on <a href="#/settings/field-sale-app-settings">Field Sale App Settings</a>.</p>

<p><b>What is the difference between user settings and Field Sale App Settings?</b><br>
User settings are per user (defaults, access toggles, route). Field Sale App Settings are company-wide (check-in boundary, item list limit, print header/footer).</p>

<p><b>Why can't users see stock on invoices?</b><br>
Enable Inventory Summary, Center Summary, and Employee Summary on the role, and set default inventory center on the user.</p>

<p><b>Can each salesman have a different print footer?</b><br>
Company-wide custom header/footer is on Field Sale App Settings. Per-user overrides are limited — use web Print Settings for document-specific footers where applicable.</p>

<p><b>What does Include non-stock items in sale invoice do?</b><br>
When enabled, saleable items with zero stock still appear in the inventory-based item picker for van sales scenarios.</p>

<p><b>What does Show item rate type switch in sale documents do?</b><br>
When enabled (and tax is on in Transaction Preferences), Sale Invoice, Sale Order, Sale Quotation, and Credit Note create screens show <b>Tax Excl.</b> / <b>Tax Incl.</b> on the <b>ITEMS</b> header. Tap it to choose the rate type for that document. The company default remains <a href="#/settings/transaction-preferences">Transaction Preferences</a> → <b>Item Rates are</b>. Re-login or reselect company on the app after changing this setting.</p>

<p><b>Do printer settings live on the web?</b><br>
No. Pair Bluetooth printers in the app under <a href="#/field-sale-app/printer-settings">Printer Settings</a> on each device.</p>
