# Reports

<p class="doc-lead">The <b>Reports</b> tab shows salesman summary widgets and field reports. Each report tile appears only when the user role grants the required access. Some reports also need default values set in web user settings.</p>

<h2 id="summary-widgets">Sales summary widgets</h2>

At the top of the **Reports** tab, a summary card shows the signed-in salesman’s performance for a selected period. The employee name appears on the left; a period picker on the right controls the date range.

<h3>Period options</h3>

**Today**, **Yesterday**, **7 Days**, **This month**, **Last month**, **Last 3 month**, **This Financial year**, **Last Financial year**, **This year**, **Last year**.

Financial year boundaries follow the company country (April–March for India; January–December for other countries).

<h3>What each widget shows</h3>

Scroll horizontally through KPI chips. Each chip shows a count (where applicable) and a total value:

- **Total Sales** — all approved sale invoices in the period
- **Cash Sales** — cash payment mode invoices
- **Credit Sales** — credit bills not yet fully collected
- **Credit Notes** — returns and adjustments issued in the period
- **Open Sale Invoices** — credit invoices still outstanding
- **Expense Claims** — expense claims submitted by the salesman
- **Sale Collection** — total collections (receipts and cash invoice payments) in the period
- **Cash Account** — closing balance of the salesman’s default cash account (when configured)
- **Prepaid Sales** — prepaid bill invoices (shown only when value &gt; 0)
- **PreApproved Invoices** — invoices in pre-approved status (shown only when value &gt; 0)

Use this strip for a quick pulse check before opening detailed reports. It does not replace the **Day Report** for end-of-day cash and stock reconciliation.

- **Employee Summary** report access
- Default **Employee** set in web user settings for the Field Sale App user

If Employee Summary access is missing, the widgets are hidden but other report tiles may still appear.

<h2 id="report-tiles">Report tiles</h2>

Below the summary widgets (or at the top when widgets are hidden), a grid of report tiles opens dedicated report screens. Most reports support on-screen filters. **Day Report** and **Customer Statement** support thermal print when a Bluetooth printer is connected.

<h2 id="day-report">Day Report</h2>

The **Day Report** is the salesman’s end-of-day summary — a single snapshot for one calendar date. Select a date at the top to reload the report.

Use it to reconcile what was sold, collected, returned, and claimed as expenses, and (when Center Summary access is available) to verify opening/closing cash and stock movement at the center.

- **Opening Cash**, **Closing Cash** (from Center Summary)

<h3>Sales</h3>

- **Cash/Bank Sales** — invoice count and total, with cash, bank, and wallet breakdown
- **Credit Sales** — credit invoice total, amount collected against credit bills, and outstanding balance
- **Pre-approved Invoices** — count and value of invoices not yet fully approved
- **Total Sales** — combined sales total (includes pre-approved when present)

<h3>Returns & Adjustments</h3>

- **Credit Notes** — return documents issued in the period
- **Cash Credit Notes** — cash-mode credit note adjustments

<h3>Collection</h3>

- **Cash/Bank Sale Invoices** — collections recorded directly on invoices
- **Receipt Vouchers** — standalone receipt collections
- **Cash Credit Notes** — deductions from collection total
- **Total Collection** — net collections for the day

<h3>Other</h3>

- **Expense Claims** — expense claims submitted on the day

<h3>Stock</h3>

When Center Summary data is available, toggle **Show Stock** / **Hide Stock** to expand an item-wise table with **Opening**, **In**, **Out**, and **Closing** quantities for the center.

<h2 id="day-report-dual-access">Day Report — dual access requirement</h2>

The Day Report combines data from **two independent reports**. Each section loads only when the user has the matching access and default value.

**Important**

- The **Day Report** tile appears when the role has **either** Employee Summary **or** Center Summary access.
- A **complete** Day Report (sales sections **and** cash/stock sections) requires **both** accesses **and** both default values configured in web user settings.
- If only one access is granted, the report shows partial data for the sections that loaded successfully.

Enable **Employee Summary**, **Inventory Summary**, and **Center Summary** in the user role when setting up Field Sale App users (see [Admin setup](field-sale-app/settings.md?id=setup)).

<h2 id="my-tasks">My Tasks</h2>

A personal CRM task board for follow-ups assigned to the signed-in user. Reminders can be linked to a **Lead**, **Customer**, or **Opportunity** (opportunity view is not available on mobile — tap still shows an info message).

Web equivalent: <a href="#/crm/reports/my-tasks-report">My Tasks Report</a> and <a href="#/crm/crm-reminder">Reminders</a> in the CRM module.

<h3>When to use it</h3>

Check **My Tasks** at the start of a field day to see calls, meetings, and follow-ups that are due or overdue. The same reminders appear on individual **Lead** views (see [Leads](field-sale-app/leads.md)).

<h3>Filters</h3>

- **Period** — Today, Yesterday, Current Month, Last Month, Year
- **State** — All, Open, Pending, In Progress, Snoozed, Done, Cancelled (default: **Open**)
- **Type** — All, Call, Meeting, Follow Up, Task, Custom

<h3>Summary KPIs</h3>

Horizontal chips at the top show counts by state: **Total**, **Open**, **Pending**, **In Progress**, **Snoozed**, **Done**, **Cancelled**.

<h3>Task list</h3>

Each row shows reminder title, type icon, due date/time, priority badge, state badge, and linked owner (lead company, customer name, or opportunity). Overdue tasks are highlighted.

<h3>Actions</h3>

- Tap a row to open the linked **Lead** or **Customer** view
- **Done** — mark the reminder complete
- **Snooze** — postpone to a future date/time
- Pull down to refresh; scroll to load more (50 per page)

<h2 id="salesman-ranking">Salesman Ranking</h2>

Compares sale invoice performance across all employees for a selected period. Useful for team leads and managers reviewing field sales, and for salesmen to see their rank within the team.

The ranking includes every salesman in the company for the selected period — not only the signed-in user's own sales. If a default **Branch** is set in user settings, results are limited to that branch.

<h3>Filters</h3>

**Period** — Today, Yesterday, Current Month, Last Month, Year

<h3>Report output</h3>

A ranked table sorted by total sale amount (highest first):

Shows *No salesman ranking data available* when no invoices match the period.

Enable **Salesman Ranking** on the user role under **Sale → Reports**. The report tile appears only when this permission is granted.

<h2 id="item-enquiry">Item Enquiry</h2>

Look up complete item intelligence before quoting or invoicing — stock levels, pricing, pending orders, and recent movement. Also opens from sale document flows when Item Enquiry access is granted.

<h3>How to run</h3>

1. Open **Item Enquiry** from Reports, **or** open it in context while creating a sale document:
   - Long-press an item in **Select Items**.
   - Long-press a line on the Sale Invoice items table.
   - Long-press the item header on **Edit Item Line** (Back returns to the edit form).
2. From Reports: select an item from the item picker.
3. Optionally expand **Customer filter** and pick a customer for customer-specific pricing.
4. Tap **Generate** (Reports path only — contextual opens load the item immediately).

Stock is evaluated for the user’s default **Inventory Center** (not shown as a separate filter on screen).

<h3>Report tabs</h3>

Tabs appear based on permissions and item type:

Service-company items may hide stock-centric sections.

<h2 id="approval-pending">Approval Pending</h2>

A single inbox of **draft** inventory documents waiting for approval. Helps supervisors and field staff clear pending requests without switching between separate list screens.

<h3>What appears in the list</h3>

The app loads draft documents (status **Draft**) from up to three modules, depending on list access:

- Each row shows document type, ID, date, and key header fields
- Tap a row to open the document view screen for review
- Approve, edit, or delete from the document view (per transaction actions)
- Pull down to refresh

<h3>Inventory Transfer (view only)</h3>

There is no **Inventory Transfer** tile on **Home** and no create screen in the Field Sale App. Draft transfers appear in **Approval Pending** when the user has **Inventory Transfer — List** access and is the **Received By** employee on the transfer.

<h2 id="customer-statement">Customer Statement</h2>

Generate a full customer ledger for a date range — opening balance, every debit/credit line, and closing balance. Use before a collection visit to confirm what the customer owes and discuss individual invoices.

<h3>Filters</h3>

- **Customer** — required; pick from the customer list
- **Period** — Current Financial Year, Previous Financial Year, Current Month, Last Month, Last 30 Days, or Custom Date Range
- **Hide cash invoices** — optional toggle to exclude cash-mode invoices from the statement

Select customer and period; the report loads automatically when both are set.

After the statement loads, tap **Print** to output on a connected Bluetooth thermal printer.

<h2 id="outstanding-bills">Outstanding Bills</h2>

Lists unpaid or partially paid sale invoices for one customer — focused on collection follow-up rather than the full ledger shown in Customer Statement.

<h3>Filters</h3>

- **Customer** — required
- **Period** — same financial year / month presets as Customer Statement
- **Include Preapproved Invoices** — toggle to add pre-approved invoices to the outstanding list

<h3>Report sections</h3>

Use this report before creating a **Receipt Voucher** to see which invoices to allocate payment against.

<h2 id="item-wise-sale-return">Item Wise Sale Return</h2>

Summarises **credit note / sale return** quantities and values grouped by item. Helps identify which products are returned most often in a period — useful for quality issues, expiry, or route-level return patterns.

<h3>Filters</h3>

- **Date Range** — Today, Yesterday, Current Month, Last Month, Year, Custom (with from/to dates)
- **Sale Return Reason** — optional filter by return reason master

The report defaults to the user’s **Employee** and inventory centers (default **Inventory Center** and **Sale Return Center**).

<h3>Report output</h3>

A **Total** row sums quantity and amount across all items.

<h2 id="rp-stock">RP Stock</h2>

Shows **returnable packaging (RP)** item balances at the salesman’s default inventory center — how many crates, bottles, or other returnable containers are physically at the center.

<h3>When to use it</h3>

Check before or after deliveries involving returnable packaging, or when reconciling RP deposits and transfers. Complements the **RP Summary** block on individual customer views.

<h3>Report output</h3>

Header shows **Center** name (from default **Inventory Center** in user settings).

<h2 id="work-schedule">Work Schedule</h2>

A read-only view of project tasks planned for a single day, grouped by project. Use it in the field to review the day's plan without editing tasks on screen.

Web equivalent: <a href="#/project/reports/work-schedule">Project → Reports → Work Schedule</a>. For progress updates and new tasks, use <a href="#/field-sale-app/daily-schedule">Daily Schedule</a> on Home.

<h3>How to run</h3>

1. Open **Work Schedule** from the **Reports** tab.
2. Set **Schedule Date** (defaults to today).
3. Optionally select a **Project** when **Project — List** access is granted.
4. Tap **Generate**.

Pull down on the list to refresh.

<h3>Summary card</h3>

After the report loads, a summary card shows:

- Selected date (full weekday format)
- Filtered project name (when a project is selected)
- **Projects** and **Tasks** counts
- Status breakdown: Not Started, In Progress, Completed

<h3>Project groups</h3>

Each project group header shows the project name, bill number, employee in charge, and a task count badge.

<h3>Task rows</h3>

Each task row shows task name, status badge, task number, category, team, and progress information:

<p><b>Why does a report say default shipping center is missing?</b><br>
Set <b>Default Inventory Center</b> (and related defaults) in the user's web settings before running stock-based reports in the app.</p>

<p><b>Can I export reports from the app?</b><br>
Most reports support Print to a paired Bluetooth printer. Use the web ERP for Excel export on the same report types where available.</p>

<p><b>What is the difference between Day Report and Customer Statement?</b><br>
Day Report summarizes the salesman's daily collections, invoices, and stock movement. Customer Statement shows ledger activity for one customer.</p>

<p><b>Does My Tasks match the web CRM report?</b><br>
Both list CRM reminders for the logged-in user. The web <a href="#/crm/reports/my-tasks-report">My Tasks Report</a> adds KPI cards and Excel export.</p>

<p><b>Why is Employee Summary empty?</b><br>
Confirm Employee Summary report access on the role and that the user is linked to an employee record with activity in the period.</p>

<p><b>Can I run reports for another route?</b><br>
Change the active route on Home before opening route-filtered reports, or adjust filters on reports that support route selection.</p>

<p><b>What is the difference between Work Schedule and Daily Schedule?</b><br>
<b>Work Schedule</b> on Reports is read-only. <b>Daily Schedule</b> on Home lets you update progress or quantity and create tasks. Both show the same day's tasks grouped by project.</p>

<p><b>Can I print Work Schedule from the app?</b><br>
No. Use the web <a href="#/project/reports/work-schedule">Work Schedule</a> report for Excel export and print.</p>
