# Reminders

<p class="doc-lead">CRM Reminders schedule follow-up calls, meetings, tasks, and custom actions linked to a lead, customer, or opportunity. Assign reminders to users, set notify-before alerts, and track completion with check-in for field meetings.</p>

<h2 id="overview">Overview &amp; List View</h2>

Go to <b>CRM → Reminders</b> from the left menu. The list shows all CRM reminders with type, owner, assignee, due date, state, and priority.

Non-admin users see reminders assigned to them or created by them unless viewing with full access.

Deleting confirms: <i>This will permanently delete the selected reminders and cancel their scheduled notifications.</i>

<h2 id="my-tasks-inbox">My Tasks Inbox</h2>

<b>My Tasks</b> is a personal inbox of reminders assigned to the logged-in user. Route: <b>CRM → Reminders → My Tasks inbox</b> (same permission as <a href="#/crm/reports/my-tasks-report">My Tasks Report</a>). There is no separate left-nav item — access via direct URL or the report permission.

<h2 id="quick-start">Quick Start — Schedule a Reminder</h2>

<h3>1. Navigate</h3>
Go to <b>CRM → Reminders</b> and click <b>New</b>. You can also schedule from a lead, customer, or opportunity view using the more menu or REMINDERS tab.

<h3>2. Select owner</h3>
Choose exactly one of <b>Lead</b>, <b>Customer</b>, or <b>Opportunity</b>.

<h3>3. Set reminder details</h3>
Select Type, Title, Due at, Priority, Assigned to, and Notify before options.

<h3>4. Save</h3>
Click <b>Save</b>. In-app notifications fire according to Notify before settings.

<h2 id="owner-fields">Owner</h2>

Exactly one owner is required.

<h2 id="reminder-fields">Reminder Fields</h2>

<h2 id="meeting-location">Meeting Location</h2>

Shown only when Type = <b>Meeting</b>.

Used for geofence validation on check-in when coordinates are set.

<h3>State lifecycle</h3>

Separate from state: <b>Active</b> or <b>Suspended</b> via Activate or Suspend in the more menu.

<h2 id="check-in-out">Check In &amp; Check Out</h2>

Available for <b>Meeting</b> type reminders. In the UI, Check In and Check Out actions and the MEETING check-in/out display are shown for <b>lead-linked</b> reminders only — they are hidden for Customer- and Opportunity-linked reminders.

<b>Check In</b> sets state to inProgress and records coordinates. If the current location is too far from the meeting site, check-in is rejected.

<h3>Check Out modal</h3>

Same fields as Check In. <b>Check Out</b> sets state to done and records checkout data. For lead-linked reminders, a lead log entry is written on check-out.

<h2 id="snooze">Snooze</h2>

<b>Snooze Reminder</b> modal:

| Snooze until | Date and time to defer the reminder. Default: 30 minutes from now. Must be in the future. |

<b>Quick Snooze</b> presets: +15m, +30m, +1h, +4h, +1d, +3d, +7d, +1mo, +3mo, +6mo, +1y

Snooze reschedules the next notification to the snooze time.

<h2 id="notifications">Notifications</h2>

When a reminder is saved or updated:

<ol>
<li>The earliest future <b>Notify before</b> offset is calculated from Due at.</li>
<li>An in-app notification is scheduled for that time.</li>
<li>When it fires, the assignee receives a bell notification.</li>
<li>If more notify-before times remain, the next offset is scheduled automatically.</li>
<li>Mark done, check-out, delete, or suspend cancels pending notification jobs.</li>
</ol>

Notifications are in-app only. View scheduled times on the NOTIFICATIONS tab: Notify before, Next fire at, Last fired at.

<h2 id="embedded-list">Embedded Reminder List</h2>

Lead, Customer, and Opportunity views include an embedded reminder list.

<b>Toolbar:</b> Call, Meeting, Reminder (schedule buttons)

<b>Row actions:</b> Mark Done, Snooze, Edit, Delete

Empty state on lead view: <b>No reminders for this lead yet.</b>  
Empty state on embedded widget: <b>No reminders yet.</b>

The <a href="#/sales/customers">Customer</a> view in Sales also includes a REMINDERS tab with the same embedded widget.

On <a href="#/crm/opportunity">Opportunity</a>, the <b>Reminders</b> tab appears in the top sidebar panel (with Secondary Status). You can also schedule from the more menu or accept the follow-up prompt when saving with a Next Contact Date.

<h2 id="faq">FAQ</h2>

<p><b>Can I check in on a customer-linked meeting reminder?</b><br>
Check In and Check Out buttons are hidden in the UI for Customer- and Opportunity-linked reminders. Use lead-linked meeting reminders for field check-in, or mark the reminder done manually.</p>

<p><b>Who sees all reminders vs only their own?</b><br>
Non-admin users on the main Reminders list see reminders assigned to them or created by them. Admins see all.</p>

<p><b>What happens when I delete a lead with reminders?</b><br>
Lead deletion removes associated reminders and cancels their notification jobs first.</p>

<p><b>What reminder types are available?</b><br>
Call, Meeting, Email, Task, and Other — select type when creating a reminder from the form or lead/opportunity/customer more menu.</p>

<p><b>How does Notify Before work?</b><br>
Schedule an advance notification at the chosen interval before the due date/time. The firing job is rescheduled when you snooze or edit the reminder.</p>

<p><b>What is the difference between Reminders list and My Tasks inbox?</b><br>
The main Reminders list supports full CRUD for permitted users. My Tasks inbox is a focused view with Done and Snooze row actions — see also <a href="#/crm/reports/my-tasks-report">My Tasks Report</a>.</p>

<p><b>Can field users snooze reminders in the app?</b><br>
Yes. Field Sale App users with CRM access can Snooze, Done, and Check In on lead-linked meeting reminders per <a href="#/field-sale-app/leads">Field Sale App — Leads</a>.</p>

<p><b>Where are reminders shown on a lead, customer, or opportunity?</b><br>
Lead and Customer views include a <b>REMINDERS</b> tab. Opportunity view includes a <b>Reminders</b> sidebar tab. You can also use Schedule Call / Meeting / Reminder or View Reminders from the more menu.</p>

<p><b>Are email and WhatsApp sent from reminders?</b><br>
In-app notifications use the CRM reminder firing queue. Outbound WhatsApp/email requires separate <a href="#/settings/notification-transaction-configs">Notification Transaction Configs</a> — not configured on the reminder form itself.</p>
