Amount Calculation

For most receipt types, the net amount is calculated as:

Amount = Gross Amount − Adjustment Amount + Sale Debit Adjustment − Cash Discount − TDS Amount − CGST TDS − SGST TDS

Sale Debit Adjustment applies only to the Sale Invoice type and increases the amount collected; the other deduction fields reduce it.

On the customer ledger, the customer account is credited for Gross Amount − Adjustment Amount. Cash discount, TDS, and GST TDS are posted as separate entries. On Customer Statement, the main receipt line shows the net Amount collected; deduction lines appear separately so the running balance matches the ledger.

Exceptions by transaction type

Sale Invoice, Debit Note, and other standard types — cash discount and TDS reduce the amount actually collected. For Sale Invoice, sale debit notes added in Sale Debit Adjustments add to the amount.

Group Customer — Amount is the net cash after credit notes. It can be zero when sale invoices and credit notes fully offset each other (pure set-off, no cash collected).

Supplier Balance Adjustment and Customer To Customer Adjustment — no cash is collected. Amount equals the Set-off Amount, and Payment Mode is not shown.

Payment Modes & Cheque / PDC

| **Payment Mode** | **Description** |
|------------------|-----------------|
| Cash | Physical cash received into a cash account. |
| Bank | Direct bank transfer or deposit into a bank account. |
| Cheque | Customer cheque received. Creates a record under Accounts → Received Cheques. Enter cheque number, date, and bank details. |
| PDC | Post-dated cheque — a cheque with a future date. The receipt may show status PDC Received until the cheque is cleared. See the Received Cheques page for tracking and clearance. |
| Digital Wallet | Payment received through a digital wallet account. |

Payment instruments
When payment instruments are configured, Bank and Digital Wallet modes show instrument-specific options such as Bank (NEFT), Bank (RTGS), or Digital Wallet (UPI). Selecting an instrument filters the To Account dropdown to accounts tagged with that instrument. See Payment Instruments for setup.

Cheque vs PDC
Both require cheque details to be entered. For PDC, the cheque date must be after the receipt voucher date.

When a receipt using Cheque or PDC is cancelled, the linked received cheque is also cancelled.

Line Tables — Transactions, Adjustments, Populate Lines

Transactions table

Lists the documents being settled on the receipt side. Common columns:

Sl.No — line serial number

Document — sale invoice, debit note, or other document (label changes by transaction type, e.g. Sale Invoice, Customer A Documents)

Date — document date

Employee — linked employee, if any

Balance — outstanding balance on the document

Amount — amount being applied on this receipt

Adjustments table

Lists offsetting documents that reduce the net amount collected:

Sale Invoice / Group Customer — credit notes against customer invoices

Supplier Balance Adjustment — purchase invoices or debit notes on the supplier side (Supplier Documents)

Customer To Customer Adjustment — credit notes on Customer B side (Customer B Documents)

Sale Debit Adjustments table

Shown only for the Sale Invoice type. Add sale debit notes raised against the customer here to apply their balance to the receipt. Unlike credit notes, the sale debit adjustment total adds to the amount collected. Each line shows the sale debit note and its balance.

Populate Lines

Populate Lines automatically allocates an entered amount against outstanding documents, starting from the oldest invoice first and continuing until the amount is fully used.

Available for: Sale Invoice after From Account is selected, and Group Customer after Parent Customer is selected. For Group Customer, allocation uses outstanding sale invoices of the parent and all sub-customers.

Not available for: Supplier Balance Adjustment or Customer To Customer Adjustment. For these types, add lines manually in the Transactions and Adjustments tables. Credit notes in the Adjustments table are never auto-filled — add them manually even when using Populate Lines.

Transaction Types

The On Transaction field determines which party accounts appear, which documents can be added to the line tables, and whether cash is collected.

Standard Transaction Types

1. Sale Invoice
Record money received from a customer against one or more outstanding sale invoices.
• From Account: Customer
• Transactions: Sale Invoice lines
• Adjustments: Credit Notes (optional)
• Supports Multiple and Populate Lines for automatic oldest-first allocation.
• To set off a credit note against the same customer's invoices with no cash, use Adjust Invoices on the credit note instead of a zero-amount receipt.

2. Debit Note
Record money received against a supplier debit note (amount owed back by the supplier).
• From Account: Supplier
• Transactions: Debit Note line

3. Employee Cash Advance Voucher
Record money received back from an employee against an outstanding cash advance.
• Transactions: Employee Cash Advance Voucher line

4. Advance Sale Invoice
Record an advance payment linked to an advance sale invoice.
• From Account: Customer
• Transactions: Advance Sale Invoice line

5. Other Incomes / Custom
Record miscellaneous receipts not tied to a specific invoice at entry time. Supports Link with Bill after approval to associate the receipt with sale invoices or other documents later. Also used when you collect an advance with Payment In from a Pro Forma Invoice or Sale Quotation — see Payment In from Pro Forma / Quotation. A receipt started as Sale Invoice (or another convertible type) can become Custom if you accept Proceed as custom on an excess amount.
• From Account: Customer or Supplier
• Can use Multiple with split receipts across parties.

6. Sale Order
Collect payment against a sale order. This option appears only when the Payment on Order company preference is enabled.
• From Account: Customer
• Transactions: Sale Order line

7. Sale Debit Note
Record money received from a customer against an outstanding sale debit note balance.
• From Account: Customer
• Transactions: Sale Debit Note line

Group Customer

Collect a single payment for a customer group — a parent customer and its sub-customers (branches) — in one receipt voucher. Sale invoices from any group member can be settled together, and credit notes from any group member (including the parent) can be offset against them.

Key fields
• Parent Customer: Select the group parent (must not itself be a sub-customer).
• Multiple: Always enabled automatically.
• Transactions: Sale Invoices belonging to the parent or any sub-customer under that parent. After selecting Parent Customer, use Populate Lines to allocate an amount against those invoices, oldest first.
• Adjustments: Credit Notes belonging to the parent or any sub-customer under that parent. Add these lines manually — Populate Lines does not fill Adjustments.
• Amount: Net cash received = Gross Amount − Adjustment Amount (credit notes).
• Payment Mode / To Account: Required when net amount is greater than zero; not required when net amount is zero (pure set-off).

Example — cash received
Parent customer C has sub-customers A and B:
• A has a sale invoice balance of 100
• B has a sale invoice balance of 200
• C (parent) has a credit note of 150
• Customer pays net amount: 150 (100 + 200 − 150)

Create one Group Customer receipt with A's and B's sale invoices in Transactions, C's credit note in Adjustments, and net cash 150. On approval:
• A's and B's sale invoices are cleared
• C's credit note is consumed
• 150 is recorded as cash or bank receipt

Example — pure set-off, no cash
• A sale invoice 100, B sale invoice 50, C credit note 150
• Net = 100 + 50 − 150 = 0 — no cash is collected
• Save and approve; invoices and credit note are cleared with no cash movement

Notes
• A credit note belonging to one group member can offset invoices of other members — the credit note does not need to belong to the same customer as the invoice being cleared.
• After selecting Parent Customer, use Populate Lines on the Transactions table to allocate the received amount against outstanding sale invoices of the parent and all sub-customers. Add credit notes in Adjustments manually.

Supplier Balance Adjustment

Set off a party's customer-side receivables against supplier-side payables — used when a business partner is both a customer and a supplier. No cash is collected.

Key fields
• Customer: The party whose receivables (customer side) are being adjusted.
• Supplier: The supplier whose payables are being set off.
• Set-off Amount: Total amount being adjusted (must match both sides).
• Customer Documents (Transactions): Sale Invoice or Debit Note lines on the customer side.
• Supplier Documents (Adjustments): Purchase Invoice or Debit Note lines on the supplier side.
• Payment Mode: Not shown — this is a balance adjustment, not a cash receipt.

Example
Party X is both a customer and a supplier:
• As customer: outstanding sale invoice of 500
• As supplier: outstanding purchase invoice of 500

Create a Supplier Balance Adjustment with sale invoice 500 in Customer Documents and purchase invoice 500 in Supplier Documents, Set-off Amount 500. On approval, both documents reduce balance by the set-off; when the set-off covers the full balance, both documents close. No cash movement.

Notes
• Customer Documents and Supplier Documents totals must equal the Set-off Amount.
• Populate Lines is not available; add lines manually.
• On approval, linked documents update balance and close when fully settled: sale invoices on Customer Documents; purchase invoices and debit notes on Supplier Documents. Partially set-off documents stay open with the remaining balance.
• Cancel the receipt voucher before cancelling a linked sale invoice, purchase invoice, or debit note.
• On statements, the set-off appears as On Set-off: credit on Customer Statement and debit on Supplier Statement.

Customer To Customer Adjustment

Transfer or offset balance between two different customers — one customer's receivable is cleared using another customer's credit note balance. No cash is collected.

Key fields
• Customer A: The customer whose receivables are being cleared.
• Customer B: The customer whose credit note balance is being applied.
• Set-off Amount: Total amount being adjusted (must match both sides).
• Customer A Documents (Transactions): Sale Invoice lines.
• Customer B Documents (Adjustments): Credit Note lines only.
• Payment Mode: Not shown — this is a balance adjustment, not a cash receipt.

Example
• Customer A has an outstanding sale invoice of 300
• Customer B has a credit note of 300

Create a Customer To Customer Adjustment with A's sale invoice in Customer A Documents and B's credit note in Customer B Documents, Set-off Amount 300. On approval, both documents reduce balance by the set-off; when fully covered, they close. No cash movement.

Notes
• Customer A and Customer B must be different parties.
• Only credit notes are allowed in Customer B Documents.
• Customer A Documents and Customer B Documents totals must equal the Set-off Amount.
• Populate Lines is not available; add lines manually.
• On approval, linked documents update balance and close when fully settled: sale invoices on Customer A Documents; credit notes (and advance sale invoices, when used) on Customer B Documents. Partially set-off documents stay open with the remaining balance.
• Cancel the receipt voucher before cancelling a linked sale invoice or credit note.
• On Customer Statement, Customer A shows an On Set-off credit line and Customer B shows an On Set-off debit line.

Excess Amount

When you enter a receipt against a single bill and the amount is at least 1 more than that bill’s open balance, save is not blocked with a toast. An Excess amount warning is shown instead.

When you can proceed as custom
Applies to Sale Invoice, Debit Note, Sale Order, Advance Sale Invoice, and Employee Cash Advance Voucher.

Cancel — nothing is saved.

Proceed as custom — the voucher is saved as Other Incomes / Custom. The original bill is linked for its open balance. The leftover stays unlinked and can be allocated later with Link with Bill.

The warning looks like this:

Receipt amount X exceeds invoice BILL balance Y by Z. Proceed to save as a custom receipt and link the invoice for min(X, Y)? The remaining Z will stay unlinked.

Example
Invoice balance 100, receipt 150 → after Proceed, custom receipt of 150, invoice linked for 100, 50 unlinked.

When excess is not allowed
For Group Customer, Supplier Balance Adjustment, Customer To Customer Adjustment, and Sale Debit Note, the same warning appears without Proceed as custom. OK closes it and save is blocked.

Notes

If the amount matches the balance (or is over by less than 1), the receipt stays the original type. Nothing is converted.

Multiple invoice lines still cannot exceed a line’s open balance.

Convert happens only when there is excess and you click Proceed. Cancel leaves the form unchanged.

After convert, reopening the voucher shows the Custom form. That is expected.

The invoice balance drops only when the voucher is approved. A draft shows the bill under Linked Bills with link status Pending.

On a converted custom receipt, the header does not show a Transaction Invoice. The bill appears only in Linked Bills.

Link with Bill

The Link with Bill option lets you associate an approved receipt with specific invoices or other documents after the receipt has been saved. This is useful for Other Incomes / Custom receipts that were recorded before the related bill was known, leftover amounts after an excess convert, and leftover advances after auto-link on sale invoice approve.

Purpose

Map receipt vouchers to the correct customer invoices or documents.

Ensure collections are reflected against the related bills.

Maintain a clear audit trail between invoices and receipts.

Avoid duplicate or unmatched payment entries.

When it applies
Link with Bill is available only for receipts with Other Incomes / Custom as the On Transaction type, and only after the receipt is approved.

Workflow

Open Accounts → Receipt Voucher and create a new receipt with Other Incomes / Custom — or open a custom receipt created by excess convert or Payment In.

Fill in customer, date, payment mode, and amount (already filled if the receipt exists).

Save & Approve the voucher if it is still a draft.

Open the three-dot menu on the approved receipt and select Link with Bill.

In Custom Receipts Linking:

Choose On Transaction at the top (Sale Invoice, Debit Note, Cash Advance Voucher, Credit Note; Sale Order when Payment on Order is enabled).

Use the search icon next to On Transaction to open the pending-bills list. The title shows the remaining Unlinked amount on this receipt.

Only open documents for that type and party are listed. Oldest bills that cover the unlinked amount are pre-selected (the last bill can be partial). Tick or untick before confirming.

Confirmed rows fill the table with those allocated amounts. You can still edit amounts, or add a row manually and pick Transaction Id when you need a specific bill.

Customer / Supplier appear only when the receipt used Multiple (split across parties). For a single From Account they are not asked again.

Bills already approved on this receipt stay locked. Newly added rows are applied when you Approve.

Approve the linking. The bill status updates to Partially Paid or Fully Paid as applicable. Total linked amount cannot exceed the receipt amount.

Viewing linked bills
Open the receipt voucher and expand it to see the Linked Bill section.

Unlinking bills
If a receipt was linked to the wrong bill:

Open the receipt voucher.

Expand the Linked Bills section.

Click Unlink on the incorrect entry.

Once unlinked, the bill reverts to its previous payment status, and the receipt can be linked to the correct bill.

Payment In from Pro Forma Invoice / Sale Quotation

You can collect a customer advance before the final sale invoice by using Payment In on an approved Pro Forma Invoice or Sale Quotation.

What happens

A new receipt opens as Other Incomes / Custom.

Customer, amount, branch, and currency are pre-filled from the source document.

The receipt keeps a reference to that pro forma or quotation (shown on the receipt view).

The receipt works like a normal custom receipt — cash or bank is posted on approve, but sale invoice balances are not updated until the receipt is linked.

Workflow

Open an approved pro forma invoice or sale quotation (quotation must have a customer).

From the more menu (⋮), select Payment In.

Review amount and payment mode, then Save & Approve.

Later, create and approve a Sale Invoice from the same pro forma or quotation.

On invoice approve, matching advance receipts are linked to that invoice automatically (oldest first, up to the invoice balance).

Any leftover amount can still be allocated with Link with Bill.

Notes

The advance also appears on the source document’s Summary tab (Sale Transaction Summary).

This is separate from Sale Order payment (which uses On Transaction = Sale Order when Payment on Order is enabled).

Link to invoices: For standard receipts, always select the outstanding sale invoices being paid for clear receivables tracking.

Multiple mode: Use when a customer pays against several invoices in one receipt, or when payment is split across parties in a Custom receipt.

Group Customer: Use when collecting payment for a parent customer and its branches or sub-customers in a single receipt.

Balance adjustments: Use Supplier Balance Adjustment or Customer To Customer Adjustment instead of manual journal entries when offsetting balances between parties.

Credit notes: Add credit notes in the Adjustments table to reduce the net amount collected rather than entering a lower gross amount manually.

Cheque receipts: Always enter complete cheque details. Track clearance under Accounts → Received Cheques.

Custom receipts: Use Other Incomes / Custom for receipts not tied to a specific invoice at entry time, then use Link with Bill after approval. Use the pending-bills search to allocate leftover amount (including leftover after an excess convert). For advances before invoicing, prefer Payment In from the pro forma or quotation so the receipt stays tied to that document.

Excess collection: If a customer pays more than one invoice, use Proceed as custom so the invoice is linked for its balance and the leftover can be linked later. Do not split the extra into a second typed receipt unless you need it that way.

FAQ

When should I use Group Customer vs Sale Invoice?
Use Group Customer when collecting payment for a parent customer and its sub-customers or branches in one receipt. Use Sale Invoice when the payment is from a single customer only.

Can a parent customer's credit note offset sub-customer invoices in Group Customer?
Yes. A credit note belonging to any group member — including the parent — can offset sale invoices of other group members in the same receipt.

Why is Populate Lines not available?
Populate Lines is not shown for Supplier Balance Adjustment or Customer To Customer Adjustment. Add document lines manually in the Transactions and Adjustments tables. For Group Customer, select Parent Customer first — then use Populate Lines on the Transactions table. Credit notes still need to be added in Adjustments manually.

Why is Payment Mode hidden?
Payment Mode is hidden for Supplier Balance Adjustment and Customer To Customer Adjustment because no cash is collected. It may also be hidden for Group Customer when the net amount after credit notes is zero (pure set-off).

What is Supplier Balance Adjustment used for?
It is used when the same business partner is both a customer and a supplier. You can set off what they owe you (sale invoices) against what you owe them (purchase invoices) without any cash movement.

Do documents close on Supplier Balance Adjustment or Customer To Customer Adjustment?
Yes. On approval, linked documents reduce balance and close when balance reaches zero — sale invoices on the customer side; purchase invoices and debit notes on the supplier side for Supplier Balance Adjustment; sale invoices and credit notes for Customer To Customer Adjustment. Partially set-off documents stay open with the remaining balance.

Can the same customer be selected for both sides in Customer To Customer Adjustment?
No. Customer A and Customer B must be different parties. The system will not allow the same customer on both sides.

How do credit notes work on a normal Sale Invoice receipt?
Add credit notes in the Adjustments table. The Adjustment Amount reduces the net Amount collected. The credit note balance is updated when the receipt is approved. If you only need to set off a same-customer credit note against invoices (no cash), use Adjust Invoices on the credit note.

What happens if I cancel a receipt that used Cheque payment mode?
The linked received cheque under Accounts → Received Cheques is also cancelled.

Can I link a receipt to invoices after saving?
Yes, using Link with Bill on an approved Other Incomes / Custom receipt. Open the three-dot menu, select Link with Bill, choose On Transaction, then use the search icon to pick pending bills (or add a row and pick Transaction Id).

How do I collect payment against a pro forma invoice or sale quotation?
On the approved pro forma or quotation, use Payment In from the more menu. The receipt is created as Other Incomes / Custom and keeps a reference to that document. When you approve a sale invoice created from the same pro forma or quotation, matching receipts are linked to the invoice automatically. Use Link with Bill for any remainder.

Are Payment In advances from a pro forma the same as Sale Order payment?
No. Sale Order payment uses On Transaction = Sale Order (when Payment on Order is enabled) and updates the order balance. Pro forma / quotation Payment In uses Other Incomes / Custom and only affects the sale invoice after linking (auto or manual).

What if document totals on both sides of a balance adjustment do not match?
The Set-off Amount must equal the totals on both the Transactions and Adjustments sides. The system will not allow saving until both sides match.

What happens if the receipt amount is more than the invoice balance?
On a single bill, an Excess amount warning is shown. Cancel does not save. Proceed as custom saves the receipt as Other Incomes / Custom and links the invoice for its open balance; the leftover stays unlinked. See Excess Amount. Multiple invoice lines still cannot exceed a line’s balance.

Why did my Sale Invoice receipt become Custom after save?
You accepted Proceed as custom because the amount exceeded the invoice balance. The invoice is linked for its balance (pending until approve). Reopening the voucher as Custom is expected.

When does the invoice balance reduce after an excess convert?
Only when the voucher is approved. A draft pending link does not change the invoice balance.

What are PDC cheque date rules?
For pay mode PDC, the cheque date must be after the receipt voucher date. The receipt stays in PDC received status until the cheque is cleared.
